Use the pricing editor to prepare an offer before sharing it. You can start from a buyer request or a quote your team created.
1. Review the quote
Open Quotes and use Needs a reply to find requests and drafts waiting for your team. Check the company, items, enquiry notes, PO number, any attachments, and payment terms.
If the quote already has a conversation, read its messages and internal notes before preparing a response.
2. Prepare the draft pricing
Select Edit Pricing on an editable draft revision. In the pricing editor, review each product’s Quantity and Offered unit price.
The editor shows catalog prices, discounts, line totals, and margin information where unit cost is available. Add a line note when an item needs extra context.
Catalog prices and rules come from the buyer’s company location, including applicable volume tiers. Saving quantity changes refreshes the catalog reference while retaining negotiated prices. Sending checks current catalog details again.
To add an item, expand Add or substitute an item, search the catalog, set the quantity, and select a product. To substitute a product, remove the old item after adding the replacement.
3. Add the right kind of message
Use Message to buyer for the explanation you want on the quote and PDF. Explain the discount, a product substitution, or anything else the buyer needs to review.
Use Internal note for context intended for your team. The quote detail page also lets you post messages with an explicit choice between Internal Staff Note and Buyer-Visible Note.
If payment terms have changed in Shopify, save pricing edits before using Refresh payment terms from Shopify.
4. Save and send
Select Save draft if you need to come back to the proposal. When it’s ready, choose Save and send to buyer and confirm the action.
You can also send an eligible draft from the quote detail page using Send to buyer. Sending preserves the revision and generates its PDF. Its validity period follows the store’s configured quote expiry policy.
When email delivery is configured, the buyer receives a review link and offer summary. Optional reminders can follow if the offer stays unanswered.
A sent revision is a fixed record. Later changes are made in a new revision so both sides can see which proposal was shared.
5. Create a revised offer
When a buyer requests changes, read their notes on the quote. If Create revised offer is available, select it, update the draft, and send it for review. Unpublished staff revisions stay hidden from buyers.
Changes to sent payment terms also require a new offer and buyer acceptance.
6. Compare what changed
Expand Revision history, enter the Earlier revision and Later revision, and select Compare. Review the changes in quantities, prices, totals, and the message.
The revision history also provides PDFs for published revisions. When the buyer is ready to proceed, acceptance starts the Shopify conversion flow.
What to expect
The sent offer is available to your buyer, with earlier published revisions kept for comparison.
